Record Keeping

Record keeping is an important means of supporting the overall learning process. It creates a trail of information that could be called upon both internally and externally. The information engrained within it can help measure performance and may be utilized to work out if a particular programme is working. Generally it is possible to split record keeping at both the teacher and organization levels.

Teacher

Teachers have the overall responsibility of collecting data from their students. The process can be made easier by creating tracker / excel sheets which can record large amounts of data in one go. This information can then be shared and pulled up by a head of department, or shown to a parent. Trackers are useful as teachers can work with large amount of students over different year groups and even schools.

Records of what was taught and when could prove useful when comparing previous year results or reviewing the structure of a particular course. This could be backed up by records of the teaching methods applied and any feedback given by the class.

Below are some further examples of different types of record keeping:

  • Disciplinary and behavioural records
  • Records of attendance
  • Details of learner progress
  • Assessment and action plans

Organization

Records could be called upon externally at an organisation level. Teaching involves an internal verification process to support fellow teachers and to ensure the correct decisions are being made. Colleagues may want to check a student's progress / work and without accurate records this could be difficult.

External verifiers such as awarding bodies or government organisations will need to call upon information during visits and possibly as part of an appeal. They could need do a spot check on any learners work; therefore accurate trackers containing the correct information are vital.

Centre / school policy should be followed with regards to the learners coursework or other supporting materials. In some instances all of this information will need to be kept securely and in other cases just a sample across the board.
